One tenant, two ladders

Matric and O Level, side by side

A school running a national stream and a Cambridge stream runs both in one CampusFlo tenant — separate ladders, separate grading, one student record.

Configuration, never a fork

A profile sets the level ladder, term structure, grading scheme, attendance model and the vocabulary itself. Every value stays editable afterwards.

The funnel

Every enquiry is followed up, not just the ones who called twice

Enquiries arrive from the website, the phone, walk-ins and campaigns, and each one carries a source and a follow-up schedule. The funnel shows where applicants stall, which is usually the thing costing you a cohort.

  • Sources: walk-in, phone, website form, referral, campaign
  • Follow-ups and visit scheduling against each enquiry
  • Conversion by source, so you know which spending works
  • Campus-by-campus comparison for groups

Applications

Parents apply online, and the form asks what that level needs

Application forms are defined per level, so a Class 1 applicant is not asked for board results and a Class 11 applicant is. Documents upload with the form, and the checklist tells you what is still missing.

  • Public web form, internal entry and bulk import, all one queue
  • Required documents per level, with an outstanding-document report
  • Eligibility rules — age on the cut-off date, previous grade
  • Duplicate detection on name, date of birth and guardian phone

Tests and decisions

Merit lists that survive being questioned

Entrance tests and interviews are scheduled, marked and weighted by a formula you set. Merit lists apply quotas and tie rules consistently, which is what lets you defend a decision to a parent.

  • Test scheduling, venues, admit slips and marks entry
  • Interview scoring against a rubric rather than an impression
  • Weighted merit — test, interview and previous results
  • Quota and category reservation, with cut-offs and tie rules

Admit

An accepted offer becomes a student, with nothing retyped

Admitting creates the student, deduplicates and links the guardians, writes the first enrolment and sends the welcome message. The application becomes the beginning of the student’s history rather than a form in a drawer.

  • Creates student, guardians, enrolment, house and subject options
  • Waitlist promotes automatically when a seat is released
  • Seat capacity enforced at offer time, with an audited override
  • Transfer-in students carry previous records and placement results

The rules it enforces

Admissions decisions get challenged. These constraints are what make a decision explainable months later.

Capacity is enforced at offer

Offers beyond the seats configured for a level require an explicit override permission, which is recorded.

Required documents gate admission

An application cannot be admitted with documents outstanding unless someone overrides it and gives a reason.

Duplicates are caught early

Name, date of birth and guardian phone are checked together, so the same child does not enter the funnel twice.

Merit is a formula, not a judgement

Weightings, tie rules and cut-offs are set for the session before results exist, and applied uniformly.

Waitlists move in order

When a seat frees, the next candidate by merit is promoted rather than whoever called most recently.

Every stage change is logged

Who moved an application, when, and why — available long after the person who did it has left.

How it works in your country

Intake rules are one of the most country-specific parts of a school system.

Pakistan
  • Age cut-off by class, and entrance testing from Class 6
  • Sibling priority and staff quota as reservation categories
  • Previous school leaving certificate recorded at admission
United Kingdom
  • In-year admissions alongside the main round
  • Admissions-authority rules and an appeals log
  • Proof of address against the catchment
United States
  • Enrolment zones and proof of residency
  • Immunisation records required before the first day
  • Lottery-based admission for charter schools
Universities
  • Rolling admissions with multiple offer rounds
  • Program-wise merit weighted across matriculation, intermediate and test
  • Multiple programme preferences per applicant

What it prints

  • Printed application form and the admit slip
  • Test result slip and the published merit list
  • Offer letter and admission letter from your own template
  • Funnel, seat-fill and source-effectiveness reports
  • Rejections by reason, and time-to-decision

Who sees what

  • Applicant’s parent — apply, upload documents, track status, accept
  • Admissions officer — the full desk, tests, decisions and admit
  • Principal — funnel, seat fill and the committee decisions
  • Registrar — receives the admitted student and their enrolment
  • Front desk — enquiry capture and visit scheduling only

Works with

Admissions is the front door to the student record, and the first thing the public website feeds.

Questions about admissions

Can parents apply from our website?
Yes. The online application form feeds straight into the same queue as walk-ins and phone enquiries, with spam protection and document upload. There is no separate inbox to check and nothing to retype.
How are merit lists calculated?
You set the weighting for the session before any results exist — typically a mix of entrance test, interview score and previous results — plus quota reservations, tie-break rules and a cut-off. The list is then generated by formula and published to the portal or the notice board.
What happens when a family declines an offer?
The seat returns to the pool and the next candidate on the waitlist is promoted in merit order. The declined offer is kept with its reason, so the following year’s planning reflects it.
Does an admitted student need to be created separately?
No. Admitting creates the student record, links or creates the guardians with duplicate checking, writes the first enrolment with a roll number, and sends the welcome message — from the application data already captured.
