Bulk import runs as a preview first: it validates every row, shows you the counts, and hands back an error file for the rows it could not accept. Nothing is written until you accept the preview.

A student leaves without their history leaving with them

Status drives what the system does. Moving a student to withdrawn closes portal access, removes them from messaging audiences and triggers the leaving-certificate workflow — while every record they generated stays intact.

The rules it enforces

Constraints are the difference between a record system and a spreadsheet. These are enforced by the product, not by training.

One active enrolment per year

A student cannot be enrolled in two sections of the same academic year, so class lists always reconcile with the roll.

No deletion once data exists

A student with attendance or marks can only be withdrawn or archived. History stays auditable.

A contact route is mandatory

Guardian phone or email is required, because a student with no reachable adult breaks every alert the school depends on.

National ID is unique per tenant

Where a national identifier is captured it must be unique, which is what makes duplicate detection reliable.

Custody flags are honoured

A court-order restriction on a guardian removes their portal access to that child rather than relying on staff memory.

Merges keep an audit trail

Two duplicate records can be merged, but the merge is recorded with who did it and what was combined.

Questions about student information

Is this the same as a school management system?
A student information system is the record layer — who the students are, who their guardians are, and their history. A school management system is the whole thing: the SIS plus attendance, timetabling, examinations, communication and the rest. CampusFlo is the whole thing, and this page describes the record layer inside it.
Can we import from our existing spreadsheets?
Yes. Students, guardians and enrolment come in from one spreadsheet, and the import runs as a preview: it validates every row, shows the counts it will create, and returns an error file for rows it cannot accept. Nothing is written until you accept the preview.
What happens to a student who leaves mid-year?
You change their status to withdrawn with an effective date and a reason. That closes portal access, removes them from messaging audiences and starts the clearance checklist and leaving certificate. Their attendance, marks and documents stay on file.
Who can see a student’s medical or safeguarding information?
Only roles granted those specific permissions. Teachers see an emergency summary — allergies and conditions they have a duty of care to know. Full medical detail, counselling notes and safeguarding concerns each sit behind their own permission, and every view is recorded.
