Attendance is not one shape. A primary school takes one mark a day, a UK school takes AM and PM, a secondary school takes it every period — and the mode is set per institution or per level, not hard-coded.

Gate hardware feeds the same register teachers use. Punches arrive by CSV or device push, match on student code, and resolve to a mark using your first-in and last-out rules.

Alerts and escalation

A guardian knows before they would have found out anyway

Alerts fire once the register closes, batched rather than one message per mark, on the channel each guardian chose. Repeated absence escalates on a ladder you configure instead of relying on someone noticing.

The audit trail

Registers lock, and corrections leave a record

An attendance register is a legal document in most systems. Marking closes after a configurable window, after which a correction needs a permission and is recorded with who changed what.

The rules it enforces

Attendance is the record schools are audited on, so the constraints matter more here than almost anywhere else.

One daily record per student

A student cannot hold two marks for the same date, so monthly registers always total correctly.

Period marks need a real slot

A period mark must match a timetable slot or an explicitly created ad-hoc session.

Registers lock

After the configured window a register is read-only, and changing it requires a permission and leaves an audit entry.

Scoped marking

A teacher marks the groups they are assigned. Marking anything else needs an explicit override permission.

Holidays never count

Closures, weekends and level-specific holidays are excluded from every percentage the system produces.

Approved leave pre-fills

An approved leave application writes the authorised code, so it cannot be recorded as an unexplained absence.

Questions about attendance

Does it work with our existing biometric machines?

Punches can arrive either as a CSV export or pushed from the device to an API, and are matched to students on their code. The device registry holds which machine is at which gate, and first-in and last-out rules turn a stream of punches into a single register mark.

What if the internet or a device fails that morning?

Teachers mark the register directly, which is the normal path anyway — the devices are a convenience at the gate, not the system of record. Punches ingested later reconcile against marks already made rather than overwriting them.

Can parents apply for leave themselves?

Yes, from the parent portal, with dates, a reason and an attachment. Once approved it writes the authorised-absence code into the register in advance, so the child is never alerted on as an unexplained absence.

How do we produce a shortage-of-attendance list before board exams?

Set the eligibility threshold for the level — 75% is the usual figure in Pakistan and India — and the system flags students below it per term. The list prints with each student’s percentage and their guardian’s contact details.
