Biometric attendance for schools in Pakistan: what to buy and how it connects to the register
Most Pakistani schools looking at biometric attendance are solving one of two problems, and they are not the same problem. Either the registers are being marked late and inaccurately, or parents are finding out about an absence at home time. The hardware only helps with the second one.
What the three options actually cost you
Fingerprint, RFID card and QR each trade cost against daily friction. The purchase price is the least interesting number.
Fingerprint
Cheapest per unit and nothing for a child to lose. But throughput is the problem: a reader takes one to two seconds per pupil in good conditions, and a gate handling six hundred children between 07:40 and 08:00 needs several readers or a long queue. Young children and cold mornings both reduce the read rate, and a failed read means a child stands there trying again while the queue builds.
RFID card
Faster — effectively instant, and several children can tap in sequence without stopping. The cost is replacement cards and the fact that a card can be tapped by someone else. For a primary school this is usually the right answer despite the replacements.
QR
Cheapest to replace, since a QR is printed on the ID card you already issue. Slower than RFID because it needs alignment with a scanner, and it degrades when the card gets worn. Reasonable for a small school or a second entrance.
The question that actually decides it
Do you want to know when a child arrives, or whether a child is in class?
Gate hardware answers the first. It cannot answer the second: a child can tap in and not reach the classroom. If your problem is late or inaccurate registers, the fix is making marking fast enough that teachers do it on time — a phone, all-present-by-default, tap the exceptions — not a machine at the gate.
If your problem is that parents find out too late, gate hardware is genuinely useful, because it lets you message a guardian at 07:51 rather than after the register closes.
How punches should reach the register
The part schools underestimate. A device produces a stream of raw punches; a register needs one mark per pupil per session. Something has to reconcile the two, and the rules matter:
- Matching. Punches carry a device-side code that must map to your student record. Get this wrong and you have a spreadsheet of numbers nobody can attribute.
- First-in, last-out. A child who taps three times has one arrival and one departure, not three events.
- Late cut-off. A punch after your cut-off is a late mark, not a present mark, and the cut-off differs by section in most schools.
- Precedence. If a teacher has already marked a child present, a missing punch must not overwrite that. The teacher is the system of record.
What to ask a vendor
- Can punches arrive both as a file and pushed from the device, so a network outage does not lose a morning?
- What happens to a punch that does not match a student?
- Can a teacher still mark manually when the gate is down, without an override request?
- Does an arrival message go out at the gate, or only when the register closes?
- Does the shortage-of-attendance calculation use the register or the punches?
That last one matters more than it sounds. Board eligibility is calculated from the register. If a vendor computes it from gate punches, a child who attended every day but forgot their card twice can appear short.
A reasonable order of work
Fix marking first. If registers are being taken accurately and on time, and guardians hear within minutes, you have solved most of the problem without buying anything. Add gate hardware afterwards, for the arrival message and the audit trail — not instead.
